8 Ways to Improve Your Meetings

Are you looking for ways to improve your meetings? If you are leading staff meetings, here are 8 simple ways to make your meetings short, intentional, and impactful!

  1. Make an Outline. List everything that needs to be covered in the meeting, and write down who is in charge of each point (if it’s not you).
  2. State the Urgency. If you really need to spend more time on a particular topic, tell everyone that at the beginning of the meeting, so you don’t spend large amounts of time on other topics before reaching the most important one.
  3. Be Introvert Friendly. Keep things interesting throughout the meeting, but don’t make it longer than it needs to be. If you’re an extrovert, just be careful not to “over-talk” your points.
  4. Keep It Focused. If you are leading a meeting, then you need to be the one to reign in the rabbit trails.
  5. Keep People Accountable. If other staff members consistently don’t come to meetings prepared, then ask them to begin writing out the information they need to share and have them send it to you before meetings.
  6. Focus on Transparency. If you aren’t transparent, then your team won’t be either. Avoid the dreaded “after-meeting meeting” (where you have to meet with team members to clarify what you just said in the meeting), and share the necessary things during the team meeting.
  7. End the Meeting with Action Steps. After everything has been communicated and discussed in your meeting, make sure people remember what they are supposed to do next! One way to do this is…
  8. Send Out a Summary. Have someone take notes and send out a summary of the meeting. Keeping these notes in a Meetings folder on your church server is even easier for everyone involved, so that in the future they can search for specific terms and reference the information they need quickly.
